2026 WRPA Prospectus

Trade Show & Booth Details

The trade show will be located in the Exhibition Hall on the fifth floor of the Greater Tacoma Convention Center. The trade show and general session will be in the same room. Please note quiet hours below when programming will be taking place in the general session room.

Daily breaks and meals are set up throughout the trade show to encourage attendee traffic and interactions. Please be sure to have your booth staffed during the designated times listed below.

Each 10'x10' booth includes:

  • 8' high green background drape
  • 3' high green side drape
  • One (1) 8' green skirted table
  • Two (2) chairs
  • One (1) wastebasket
  • One (1) ID sign

NOT INCLUDED:

  • The hall is not carpeted. You must provide or purchase flooring for your exhibit space. See the Furnishings & Shipping section for information on ordering flooring and additional fixtures for your exhibit space.
  • Electricity is not included with your booth. See the Electrical & AV section for information on ordering.

Furnishings, Shipping, & Material Handling

Fern is the contracted exhibitor services provider for this event. Exhibitors will receive an email invitation from Fernto access the exhibitor services kit with information on ordering fixtures and material handling.

Log in to the FernExhibitor Services Portal to order furnishings for your booth, view material handling rates, and print shipping labels. The Greater Tacoma Convention Center will NOT accept any advance shipments. All shipping must go through Fern.

Electrical & AV

Electrical hookups, dedicated internet connections, and AV services may be ordered through the Greater Tacoma Convention Center.


Exhibitor Profile

Shortly after registering for your exhibit booth or sponsorship, you will receive an email from our exhibitor management platform, MapDynamics, with instructions to access the exhibitor portal. If you have not received your access link, please reach out to [email protected] for assistance.

Log in to complete your MapDynamics company profile by adding your logo, a company description, contact details, social links, products, services, and more. Your profile will be visible to attendees, so we encourage you to fill out all tabs and features to make the most of your presence at the conference.

Please note, WRPA may use the information in your profile to promote your participation, so it is important to ensure everything is complete and accurate.

Administrative Contact: The individual and email address listed in your Administrative tab will be who we use as the key point of contact to relay all important conference information to. 


Registering Representatives

Representative badges give you full access to the conference, including education sessions, conference meals, refreshment breaks, Awards Banquet, and social events.

The deadline to register your representatives is April 14, 2026. After this date, you will be required to register onsite as a full conference attendee.

To redeem the complimentary registrations included in your partnership package:

  1. Log in to the WRPA website to access the WRPA 2026 Conference Registration Form
  2. Select “Sponsor or Exhibitor Rep” as your registration type and then “Complimentary Registration Redemption” as shown below.
         
3. Proceed through the form using the “Next” button until you reach the Summary page.
4. Enter the discount code PARTNER26 and select “Apply” before submitting the form to remove the cost of registration.

Additional representatives can be purchased while completing the registration form for $200 each. To purchase, follow the steps above but select the "Additional Representative” option for Booth Representative. You do not need a code to purchase additional representatives.

Exhibitor Engagement Program

The planning committee is hard at work developing creative and fun ways to drive engagement in the exhibit hall. More details coming soon!


Attendee List

As a sponsor or exhibitor at the WRPA Conference, you will receive access to the attendee list at no additional cost. The pre-event attendee list will be sent two weeks prior to the conference and the post-event list will be sent within one week following the conference.

The WRPA Conference & Tradeshow Pre/Post Show Attendee List is the proprietary property of the WRPA. These lists may only be used to contact attendees up to two times, only for the specific purpose of promoting the sponsor/exhibitor’s participation at the specified show and/or as a follow-up after the show. The Sponsor/Exhibitor agrees not to duplicate, publish, permit the list to be published, merge it into the sponsor's/exhibitor’s company database(s), or use it for any other purpose not expressly provided for in the agreement. 


Unauthorized Vendors

Please be aware of potential scammers who may attempt to contact you under the guise of our association or event management team. These individuals may offer services, claim to sell attendee lists, hotel reservations, or solicit unauthorized payments.

Please be advised:

  • Our association will always communicate with you directly through official channels.
  • We do not engage third-party companies to sell attendee lists or other services on our behalf.
  • If you receive any suspicious emails, phone calls, or messages claiming to be from our event, do not engage with the sender. 

For your security:

  • Verify the legitimacy of any communication by contacting us directly.
  • Never provide payment details or personal information to an unsolicited contact.

Your participation is incredibly important to us, and we want to ensure your experience is secure and positive. If you have any doubts or questions about the authenticity of a communication, please reach out to us immediately. We also encourage you to report fraudulent activity to the Federal Trade Commission.
